Project Accountant

Richmond, VA

Looking to help design a better, more beautiful world? We’re seeking an experienced Project Accountant to join our team. The Project Accountant works in close cooperation with assigned Project Managers and Administrative Assistants (where applicable) on project set-up, maintenance, billing, AR, reporting and closing. We’re looking for someone with exceptional organizational and communication skills to join our growing team.

Essential Functions
Responsibilities may include, but are not limited to, the following:


  • Exhibits superior written and verbal communication skills.
  • Effectively communicates accounting and project related accounting information matters to appropriate employees.
  • Maintains strict confidentiality in matters of sensitive information.


  • Project Accounting
    • Setup project table, billing, and budget in the accounting system.
    • Review contracts against billing setup to reconcile
    • Distribute, then update percent % complete for project budget as required by assigned project managers
    • Generate draft invoices for gold folder for assigned project managers
    • Send actual invoice to client (provide backup, file copy, upload to client software, etc.)
    • Handle consultant/expense invoices (several aspects to coordinate with contract, budget, billing terms).  See Accounts Payable below.
    • Assist required project reporting as needed to maintain accuracy and as a resource to project managers
    • Perform monthly project accounting closeout per assigned project managers
    • Review and recommend improvement to billing and accounting process
    • Assist assigned project managers with project reconciliations and client requests
    • Maintain project filing, including executed contract and accounting related records.
    • Respond to client and project team accounting related requests, as needed.
  • Accounts Receivable
    • Generate and send out monthly statements for assigned projects.
    • Maintain overall AR for assigned projects, including requesting credits and write-offs
    • Submit lien waivers to clients, as required
    • File accounts receivable documents
  • Accounts Payable
    • Reconcile, as required, and enter project accounts payable invoices
    • Enter data related to miscellaneous expenses (copiers, postage, plots)
    • File accounts payable documents

Support Services

  • Assist assigned project managers, principals, and the accounting manager with special tasks, as needed, may include, but is not limited to:
    • Special executive level support for meetings, firm wide reporting and complex project requirements.
    • State filings and renewals.
  • Provide accounting back-up to other Project Accountants as needed.

Here’s what you’ll need

  • Associates (BA or BS degree) accounting/business preferred
  • 7 or more years relevant industry experience (or equivalent)
  • Excellent organization skills; detail oriented; efficient at prioritizing and multi-tasking in a fast-paced environment.
  • Demonstrated ability to work under pressure; meet deadlines; respond to inquiries in timely manner.
  • Possesses and applies knowledge of office resources or tools to perform the functions of the position.
  • Demonstrated proficiency in Deltek Vantagepoint, Bluebeam, Microsoft Outlook, Teams, Word, and Excel and familiarity with databases.
  • Working knowledge of office copiers and scanners.
  • Communication skills that enable a professional approach to interaction with clients, vendors, and co-workers.
